Privacy Policy — WhatsApp Assistant

This policy explains how TSA Online handles your personal information when you message us on WhatsApp and are helped by Nadia, our automated assistant. We process personal information in line with South Africa's Protection of Personal Information Act (POPIA).

Who we are

TSA Online is the trading name of Aidans Technology and Services cc (CK No. 2005/027456/23), Durban, KwaZulu-Natal, South Africa. TSA Online is responsible for your information and for the services we provide to you.

The WhatsApp assistant is built and operated for TSA Online by our sister company Vertex Computer Technology (Pty) Ltd (Reg. No. 2022/454975/07, 28 Acropolis Street, Starwood, Phoenix, 4068, vct.co.za), which processes messages only on TSA Online's instructions. Vertex customers may also be served through this channel.

What we collect

We do not ask for passwords, banking details or ID numbers over WhatsApp. Please don't send them.

Why we use it

We do not use your WhatsApp messages for marketing unless you ask us to, and we never sell your information.

Automated replies

Nadia uses artificial intelligence to draft or send replies. She only answers questions about TSA Online and Vertex services, and hands anything urgent, sensitive or unusual to a person. You can ask for a person at any time.

Who processes your information

Some of these providers process information outside South Africa. We use them only where they provide adequate protection for personal information.

How long we keep it

Conversation records held by our assistant are automatically deleted after 90 days. Information that becomes part of a quote, invoice or support record is kept as long as needed for that purpose or as required by law.

Your rights and deleting your data

You may ask to see the information we hold about you, correct it, or have it deleted. To request deletion, email admin@tsaonline.co.za with the subject "WhatsApp data deletion" and the phone number you messaged us from. We will confirm once it is done.

If you are unhappy with how we handle your information, you may contact the Information Regulator of South Africa at inforegulator.org.za.

Security

Our server uses encrypted (HTTPS) connections, verifies that messages genuinely come from WhatsApp, and limits access to TSA Online staff.

Changes

We may update this policy. The latest version will always be on this page.
